Surplus Library Books

  • Delete books from the library catalog (Catalog Tab, Update Copies link)
  • Remove or scribble out all markings showing that the book belongs to the school (stamped, bar code, etc.)
  • Write or stamp "Deleted" on inside cover of each book
  • Box surplus books and label each box with school name, grade level, number of books. Also, number the boxes you are sending together.
  • Fill out the Surplus Library Books form found on the district purchasing form webpage--you and the principal must sign the form.
  • Make 3 copies
    • Keep one copy for your records
    • Place one copy with the surplussed items
    • Send one copy to person over library book purchasing in Purchasing (2016--Susan Taylor)
  • Email the Canyons warehouse to have them come and pick up the books (2016--Kari Johnson kari.johnson@canyonsdistrict.org)


Surplus Equipment

  • Fill out the Surplus Equipment form found on the district purchasing forms webpage--you and the principal must sign the form.
    • Keep one for your records
    • Place one copy with the surplussed items
    • Give one copy to your head secretary
    • If you still have usable equipment that you are surplussing, I always check with the other librarians to see if they could use the equipment. If they can, you can transfer the equipment instead of surplussing it using the district Equipment Transfer Form.

Surplus Textbooks



  • Books can be surplussed at ANY time during the school year; you do not have to do it at the end of the year
  • Work with your administration on this; in some schools, the administrator will want to be the supervisor and will instruct you what to do
  • Delete books from the textbook management catalog (Catalog Tab, Update Copies link)
  • Remove or scribble out barcodes
  • Put surplus textbooks in the Surplus Management System
    • Username is your email
    • Need to have ISBN, title, number of copies, condition, publisher, year published, and date available for each book
    • If ISBN comes up as invalid, check to make sure it has no dashes or spaces at the end of the ISBN
    • If no ISBN is available, you can put 10 9's in as the ISBN example: 9999999999
    • After you put in the ISBN, if the title, etc. does not self-populate, you can type in the information manually

  • Dave may come out and look at the books for resale; he prefers to see books on the shelf, not in Gaylords (speedpacks)
  • You must wait for 4 weeks to see if other schools in the district, state or around the country wish to purchase them
  • The books that have not been purchased can be put in Gaylords after 4 weeks
  • Fill out a Surplus Pick-up form available on the purchasing forms webpage
  • Call Kari Johnson at the warehouse (801 826 5307) or email her kari.johnson@canyonsdistrict.org to have the books get picked up
